Resource Coordinator

We are looking for an experienced Resource Coordinator to support the effective planning and scheduling of our delivery team, working closely with project and account managers to ensure resources are allocated efficiently and customer commitments are met.

About the Role

As we continue to expand our team, we are looking for an organised and proactive Resource Coordinator to support the effective planning and allocation of our delivery resources.  In this role, you will help ensure the right people are allocated to the right tasks at the right time, working closely with project and account managers to keep schedules accurate, responsive, and aligned with customer commitments. This is an excellent opportunity for someone who thrives in a fast paced environment and enjoys optimising processes to support successful project delivery.

  • Schedule tasks for available resources, prioritising work and adjusting schedules as required to meet changing demands.

  • Assess and allocate the most suitable developers and consultants for each task, considering skills, location, and availability.

  • Produce resource and utilisation reports and forecasts, including analysis of resource usage, productivity, and project progress.

  • Take ownership of timesheet management, ensuring required hours are submitted and approved in time for invoicing. This includes optimising time allocation, reviewing entries against projects, and liaising with project owners.

  • Work closely with project managers and account managers to manage internal delivery expectations and ensure commitments to customers are met.

  • Identify gaps in team calendars or tentative bookings and coordinate with relevant stakeholders to optimise resource allocation with confirmed work.

  • Manage duplicate bookings and maintain accurate calendar updates for planned or unexpected absences.

  • Review and improve processes related to scheduling, resource allocation, and reporting.

The Ideal Candidate


Desirable Skills

  • Knowledge of ERP, CRM, database, or similar computerised systems is advantageous.
  • Proficiency in the Microsoft Office Suite.
  • Excellent written and verbal communication skills.

Required Skills and Experience
  • Minimum of 5+ years’ experience in resource coordination.
  • Minimum of 5+ years’ experience in similar environments involving project coordination, accounting, finance, or invoicing processes.
  • Ability to remain focused and effective in a fast-paced, high-pressure environment.
  • Strong attention to detail, ensuring accuracy and diligence in all tasks.
  • Ability to multitask and prioritise effectively.
  • Excellent organisational and planning skills.
  • Willingness and ability to grow and develop within the role.
